Back office outsourcing services
Back-office work rarely gets attention until it falls behind. Orders sit unprocessed, documents are hard to find, and senior people spend their afternoons on tasks that follow the same steps every day.
Because this work is rule-based and repeatable, it suits outsourcing well. The important part is the handover: documenting how each task is really done today, including the exceptions nobody wrote down, so the process keeps working when someone else runs it.
Back-office processes we support
Order processing
Capturing, validating and updating orders, and keeping status consistent across sales, warehouse and customer teams.
Document management
Naming, filing, indexing and retrieving contracts, records and business documents.
Administrative support
Inbox management, scheduling, report preparation and other recurring admin tasks.
Vendor and supplier records
Maintaining vendor details, purchase records and supporting documents.
Trackers and recurring checklists
Keeping operational trackers current and running daily or weekly checklists.
Who handles what
NetZure handles
- Writing the SOP from walkthroughs with your team
- Running the agreed tasks on the agreed schedule
- Logging exceptions instead of improvising
- Reporting volumes, turnaround and open items
Stays with you
- A walkthrough of how the task is done today
- Approval of the written SOP
- Access to the shared systems, inboxes or folders
- Decisions on exceptions the SOP does not cover
Keeping the process under control
Before full handover, a parallel run lets your team check our work on live tasks until both sides are satisfied. After that, exceptions are logged rather than handled ad hoc, and regular reviews look at errors, open items and steps in the SOP that could be simplified. Changes to the process are proposed to you and only made once approved.
When back-office outsourcing is usually considered
- Order volumes have grown, but adding operations staff is not yet justified.
- Managers spend a large part of the week on routine admin instead of their actual role.
- Records are spread across inboxes, folders and spreadsheets, and nobody owns keeping them in order.
- The process depends on one person who knows how it works, and you want it documented.
How the handover works
The details are agreed per engagement. This is the usual sequence.
- 1
Walkthrough
Your team shows how the task is done today, including the exceptions.
- 2
Written SOP
The walkthrough becomes a standard operating procedure you review and approve. You keep a copy.
- 3
Parallel run
Our team does the work while yours checks it, for as long as needed.
- 4
Full handover
We take over the volume, with a clear route for exceptions.
- 5
Ongoing review
Regular check-ins on volumes, errors and improvements to the process.
Questions about back office support
What is the difference between back-office and front-office outsourcing?
Front-office work involves talking to your customers, such as support calls and chat. Back-office work happens behind the scenes: processing orders, maintaining records, preparing reports and similar operational tasks.
How do you learn a process that is not documented?
Through walkthroughs with the people who do the work today. Writing the SOP is part of setup, and you keep it whether or not the engagement continues.
Can we start with a single process?
Yes, and it is usually the sensible way to begin. One well-defined process shows you how we work before anything else moves.
How will we know the work is done correctly?
Through regular reports and direct visibility of the work in your own systems. Errors and exceptions are logged and reviewed together.
