Business process outsourcing: what it is and how to evaluate it
A plain explanation for teams considering outsourcing, with the questions worth asking any provider, including us.
What business process outsourcing means
Business process outsourcing (BPO) means handing a defined piece of recurring work, and the responsibility for running it day to day, to an outside team. The work itself stays yours: the rules, the customers and the outcomes. What changes is who staffs it, trains the people doing it and manages the daily volume.
BPO is not the same as hiring freelancers for a task, or buying software. The provider runs a process to an agreed standard over time, reports on it, and is accountable when it goes wrong.

Is a process ready to outsource?
A process does not need to be documented already. It does need most of these to be true.
- It follows the same steps most of the time, with exceptions that can be listed.
- It has enough regular volume to keep a trained person occupied, or a backlog large enough to justify a project.
- The result can be checked: an answer given, a record entered, an invoice matched.
- The people doing it can be given access to the systems, inboxes or files involved.
- Someone on your side can make decisions when a case falls outside the rules.
How to evaluate a BPO engagement
Whichever provider you speak to, these are the points worth pinning down before you sign.
- Scope in writing
- A proposal should list the tasks included, the ones excluded, working hours and the volumes it assumes. Vague scope is the most common source of disappointment on both sides.
- Transition plan
- Ask how the process will move: walkthroughs, written procedures, a parallel run, and when full handover happens. A provider that skips straight to go-live is relying on luck.
- Quality checks
- Find out what is reviewed, how often, against which standard, and what happens with the findings. "We maintain high quality" is not an answer.
- Reporting
- Agree the reports you will receive and how often, before work starts. Reports should show problems as well as volumes.
- Data access
- Decide whether the team works inside your systems with accounts you control, or receives data files. Raise any confidentiality agreement you need at the start.
- Commercial model
- Outsourcing is commonly priced per person assigned, per transaction or as a fixed project fee. The right model depends on how predictable the volume is.
- What you keep
- Written procedures created during setup should belong to you, so the process is not locked to one provider.
Outsourcing from outside India

Questions about BPO
What does BPO stand for?
BPO stands for business process outsourcing: contracting a defined business process, such as customer support or data processing, to an external provider that runs it on your behalf.
Is outsourcing only for large companies?
No. Smaller businesses and startups often have the most to gain, because they need capacity before they can justify hiring and managing an in-house team for the work.

How long does it take to get started?
